VendorHearth Pro provides reporting for Season Passes and Paid Add-Ons, allowing organizers to review these records outside of WordPress.
These exports can be especially useful when preparing for upcoming events or fulfilling items vendors have purchased.
Season Pass Reports #
Season Pass reports help you review vendors participating through your organization’s Season Pass program.
Depending on the available records, the export can help you review information related to:
- Season Pass holders
- Payment status
- Included events
- Event assignments
- Vendor participation
Automatic Event Assignment #
When a Season Pass is paid, VendorHearth can automatically assign the vendor to the events included with that pass.
VendorHearth performs capacity checks as part of this process.
A Season Pass report can help you review these records across your event season.
When to Export Season Pass Information #
A Season Pass export may be useful when:
- Reviewing Season Pass holders
- Preparing for upcoming events
- Checking participation across multiple events
- Reviewing payment records
- Maintaining administrative records
For current participation information, always compare exported information with the live records in VendorHearth when necessary.
Paid Add-On Reports #
VendorHearth also supports Paid Add-Ons.
These allow organizers to offer additional items or services that vendors can purchase alongside their event participation.
Paid Add-On order information can be exported for easier fulfillment and administrative review.
Using Add-On Reports for Fulfillment #
Add-On reports are particularly useful when the organizer must prepare something before the event.
Depending on the add-ons your organization offers, you may need to review:
- Vendor
- Purchased add-on
- Quantity
- Order information
- Payment information
The export can then be used as a working fulfillment list.
Verify Orders Before Purchasing Supplies #
If your organization needs to order products or supplies based on vendor add-on purchases, generate a current report before placing the order.
Check for:
- New purchases
- Quantity changes
- Payment status
- Cancelled participation
- Other relevant order changes
Do not rely on an older export when purchasing inventory.
Duplicate Paid Add-Ons #
VendorHearth includes tools for duplicating configured Paid Add-Ons when appropriate.
This can make it easier to reuse similar offerings without recreating the entire configuration.
Always review the duplicated add-on before making it available to vendors.
Opening the Reports #
Season Pass and Paid Add-On reports are exported as CSV files.
They can be opened with spreadsheet applications such as:
- Microsoft Excel
- Google Sheets
- Apple Numbers
- LibreOffice Calc
You can then sort and filter the information for your workflow.
Reports Are Snapshots #
An exported CSV represents the records available when the export was generated.
If a vendor later purchases an add-on or a Season Pass record changes, the previous CSV will not automatically update.
Generate another export when you need current information.
Editing the Spreadsheet Does Not Update VendorHearth #
Changes made to an exported CSV do not modify the live VendorHearth records.
If a Season Pass or Paid Add-On record needs to be changed, make the appropriate change within VendorHearth.
Use the export for reporting and external organization rather than editing the live system.
Protect Vendor and Payment Information #
Season Pass and Paid Add-On reports may contain vendor or payment-related information.
Store these files appropriately and limit access to authorized staff.
Do not publicly distribute reports containing private vendor information.
