VendorHearth Pro keeps important business information together in each vendor’s profile.
Keeping vendor profiles current helps organizers review applications, communicate with vendors, prepare promotional content, and manage participation across multiple events.
Vendor Business Information #
A VendorHearth vendor profile can contain information such as:
- Business name
- Contact information
- Product or service description
- Vendor categories
- Social media information
- Business logo
- Product photos
This information belongs to the vendor profile rather than to one specific event.
Business Name #
The business name identifies the vendor throughout VendorHearth.
Use the name the vendor normally uses for their business.
If a vendor changes their business name, update the existing vendor profile when appropriate rather than automatically creating a second vendor record.
This helps preserve the vendor’s existing history.
Contact Information #
Accurate contact information is important because VendorHearth uses vendor information throughout its communication and event-management workflows.
If a vendor reports that their contact information has changed, update the existing record rather than creating a duplicate profile.
Product or Service Description #
The vendor profile can include a description of what the business offers.
This information can help organizers understand the vendor’s products or services when reviewing applications.
It may also be useful when preparing Vendor Spotlight content.
Vendor Categories #
Vendor profiles can be associated with categories that describe the vendor’s business.
Examples might include:
- Jewelry
- Candles
- Apparel
- Baked Goods
- Woodworking
- Art
The vendor’s category information helps describe the business, while individual events can have their own category availability and limits.
For more information about event category controls, see the Booths & Categories documentation.
Social Media Information #
Vendor profiles can include social media information for the business.
Keeping this information current can be useful when VendorHearth generates promotional content or when organizers need to reference the vendor’s online presence.
Business Logos #
VendorHearth allows vendor profiles to include a business logo.
Supported image formats include:
- JPG
- PNG
- WebP
Logo uploads can be up to 5 MB.
For best results, vendors should upload a clear version of their current business logo.
Product Photos #
Vendor profiles can also contain product photos.
These images give organizers additional context about the vendor’s products and may be useful during application review or promotional workflows.
Product images should accurately represent the business and products being offered.
Logos and Vendor Spotlights #
VendorHearth’s Vendor Spotlight system can use information from the vendor’s profile when generating promotional posts.
A vendor’s business logo can be used as the featured image for a Vendor Spotlight when appropriate.
Keeping vendor profile information current therefore improves more than just the vendor directory—it can also improve the promotional content generated from that information.
Editing Existing Information #
When vendor information changes, update the existing profile whenever possible.
Avoid creating a new vendor simply because:
- The business changed its name
- The vendor changed an email address
- A new logo was created
- Social media information changed
- The product description was updated
Updating the existing record helps keep the vendor’s history together.
Review Before Making Major Changes #
Before making significant changes to a vendor profile, verify that you are editing the correct vendor.
A vendor may have applications and historical records connected to multiple events.
Changes to the central vendor profile may therefore affect how the business is identified elsewhere in VendorHearth.
Keeping Vendor Profiles Current #
Vendor information can change over time.
Periodically reviewing important vendor details helps keep VendorHearth useful for:
- Application review
- Communications
- Vendor Spotlights
- Event operations
- Vendor history
- Reporting
The vendor profile should remain the central record for the business rather than creating separate profiles for each event.
