VendorHearth Pro allows organizers to export application and vendor-category information for review outside of WordPress.
These reports can be useful for analyzing your event, reviewing application activity, and understanding your vendor mix.
Application Reports #
Application reports provide information about vendor applications stored in VendorHearth.
They can be useful when you want to review application information in a spreadsheet or maintain an external record of an event’s application activity.
Why Export Applications? #
An application export may be useful for:
- Reviewing event applications
- Comparing application statuses
- Maintaining event records
- Performing additional spreadsheet analysis
- Reviewing vendors outside of WordPress
The export creates a snapshot of the information stored in VendorHearth at the time the report is generated.
Application Statuses #
Depending on the records included in your report, you may see applications in different stages of the VendorHearth workflow.
These may include statuses such as:
- Pending Review
- Awaiting Payment
- Confirmed
- Waitlisted
- Declined
- Cancelled
Use the exported information to supplement VendorHearth rather than replacing the live application dashboard.
Category Reports #
VendorHearth can also export information related to vendor categories.
Category reports can help you understand the mix of businesses represented at an event.
For example, you may use the report to review how many vendors are associated with different categories.
Category Capacity vs. Booth Capacity #
Remember that VendorHearth treats category capacity and booth capacity as separate controls.
Category capacity determines how many vendors may participate within a particular vendor category.
Booth capacity relates to the number of available booth spaces.
An event may still have booth space available even when a particular vendor category has reached its limit.
Reviewing Your Vendor Mix #
Category reports can help identify areas where your event has:
- Strong category representation
- Limited remaining category availability
- Categories that have reached capacity
- Categories with few participating vendors
The report provides information for your review. VendorHearth’s live event settings remain the source for the actual category limits and availability.
Opening the CSV #
Application and category reports are exported as CSV files.
You can open them with spreadsheet software such as:
- Microsoft Excel
- Google Sheets
- Apple Numbers
- LibreOffice Calc
Once opened, you can sort or filter the information as needed.
Exported Reports Are Snapshots #
An exported report does not automatically change when VendorHearth records change.
For example, if you export applications and then approve three additional vendors, the existing CSV will still show the information from the time it was created.
Generate another report when you need updated information.
Editing the Spreadsheet Does Not Update VendorHearth #
Changes made to the CSV do not modify VendorHearth.
If an application status or vendor category needs to be changed, make the change inside VendorHearth.
Then generate a new report if you need an updated external copy.
Protect Application Information #
Application reports may contain information that was provided for internal organizer review.
Treat exported application data appropriately.
Avoid publicly distributing information such as:
- Vendor contact details
- Application responses
- Internal application information
- Other non-public vendor data
Only provide exported reports to people who need access to them.
Use Reports Alongside the Dashboard #
Exports are most useful for external analysis, recordkeeping, and preparation.
For current application decisions and category availability, use the live information inside VendorHearth.
This helps prevent decisions from being made using an outdated spreadsheet.
