# Vendor Booth Selection

VendorHearth Pro includes booth selection tools that allow organizers to create individual booth options for an event and allow vendors to select from available locations.

This is separate from the booth type a vendor purchases or applies for.

## Booth Type vs. Booth Selection

A **booth type** describes the kind of space the vendor receives.

For example:

**Booth Type:** 10' × 10' Indoor Booth

A **booth selection** identifies the specific location assigned to that vendor.

For example:

**Booth:** 24

A vendor may therefore have both:

**10' × 10' Indoor Booth — Booth 24**

## Setting Up Booth Selection

Organizers configure the individual booth options available for an event.

To manage booth selections:

1. Open the appropriate event in VendorHearth.
2. Locate the booth selection or booth assignment tools.
3. Add the individual booth locations available for the event.
4. Configure the appropriate booth information.
5. Save your changes.

The available booth locations can then be used during the vendor booth-selection process.

## Use Your Event Map as a Reference

If you have uploaded an event map, use the same booth numbers or identifiers when creating booth options in VendorHearth.

For example, if your map contains:

**A1, A2, A3, A4**

use those same identifiers in VendorHearth.

This makes it easier for vendors and organizers to match booth selections with the physical event layout.

## Vendors Can Select Available Booths

When booth selection is available to a vendor, they can choose from the booth locations that remain available to them.

VendorHearth records the selection so organizers can see which vendor has selected a particular booth.

This helps reduce the need to maintain a completely separate booth-selection list.

## Vendors Can See Existing Selections

VendorHearth's booth-selection interface can show which booth locations have already been selected.

This helps vendors distinguish between available and occupied booth locations when making their selection.

## Booth Availability Can Be Restricted

Not every booth necessarily needs to be available to every vendor.

VendorHearth can use booth configuration and role-based restrictions to control availability where applicable.

For example, an organizer may maintain special booth options intended for a particular WordPress user role rather than making those spaces available through the normal vendor workflow.

## Booth Selection Does Not Replace Capacity

Individual booth selection and booth-type capacity serve different purposes.

Booth capacity controls how many spaces of a particular booth type can be offered.

Booth selection determines which specific location a vendor receives.

Both should be reviewed when preparing an event.

## Changing a Vendor's Booth

If a booth assignment needs to change, organizers can manage the booth information from VendorHearth.

Before reassigning a booth, verify that the new booth is available and that the event map and other event information remain accurate.

## Removing Booth Options

VendorHearth provides controls for removing individual booth options as well as clearing booth options when necessary.

Use these tools carefully once vendors have begun selecting booths.

Before deleting a booth option, verify whether it is already associated with a vendor.

## Booth Selection and Event Maps

The event map provides the visual layout.

VendorHearth provides the booth-selection records.

These two pieces should agree.

If VendorHearth shows a vendor in Booth 18, the map distributed to vendors should identify Booth 18 in the correct location.

## Before Releasing Booth Selection

Before allowing vendors to select booths, verify:

- Booth numbers or identifiers
- Booth availability
- Booth restrictions
- Existing assignments
- Event map accuracy

Correcting the setup before vendors begin selecting locations is much easier than reorganizing assignments afterward.
