# Understanding Season Passes

Season Passes in VendorHearth Pro allow organizers to offer vendors a single purchase that includes participation in multiple events.

Instead of applying and paying separately for every included event, an eligible vendor can purchase a Season Pass and be assigned to the events included with that pass.

## What Is a Season Pass?

A Season Pass is a multi-event option created by the organizer.

The organizer determines which events are included in the pass and configures the appropriate Season Pass options.

This can be useful for organizations that operate several markets or events throughout a season.

## How the Season Pass Workflow Works

A typical Season Pass workflow looks like:

**Season Pass Offered → Vendor Purchases Pass → Payment Confirmed → Vendor Assigned to Included Events**

Once the Season Pass is paid, VendorHearth can automatically assign the vendor to the events included with that pass.

This reduces the need to manually create the same vendor's participation across multiple events.

## Automatic Event Assignment

One of the primary features of VendorHearth Season Passes is automatic event assignment.

After the Season Pass payment is completed, VendorHearth can create the appropriate event participation records for the included events.

The vendor does not need to purchase each included event individually.

## Capacity Is Still Checked

A Season Pass does not simply ignore your event capacity settings.

VendorHearth checks capacity when assigning the vendor to included events.

This helps prevent Season Pass assignments from unintentionally bypassing the capacity controls configured for your events.

## Season Passes and Event Setup

Before offering a Season Pass, make sure the events you intend to include have been properly configured.

Review:

- Event dates
- Booth options
- Booth capacity
- Vendor categories
- Category limits
- Event availability

Season Pass automation works best when the underlying events are already configured correctly.

## Season Pass Payment

A Season Pass should not be treated as fully active simply because the vendor expressed interest in purchasing one.

Payment must be appropriately completed or recorded.

Once the Season Pass is recognized as paid, VendorHearth can perform the corresponding event assignments.

## Existing Vendors

Season Passes can be used with vendors already registered in VendorHearth.

Keeping the Season Pass connected to the correct vendor account helps maintain a consistent history across all of the included events.

## Season Passes Do Not Remove Event Records

Although the vendor purchased one Season Pass, participation in the included events still needs to be represented within VendorHearth.

This allows each event to maintain its own:

- Vendor roster
- Capacity information
- Booth information
- Event-specific participation records

The Season Pass simplifies purchasing and assignment without combining all of the events into a single record.

## Review Assignments After Payment

After a Season Pass is paid, organizers should verify that the vendor was assigned to the expected events.

If an event could not accept the assignment because of capacity or another issue, review that event before manually making changes.

Do not assume a Season Pass should override event restrictions.

## Why Use Season Passes?

Season Passes can reduce repetitive administrative work for both organizers and returning vendors.

Instead of managing multiple separate purchases for the same vendor, VendorHearth can use the Season Pass to coordinate participation across the selected events.

This is especially useful for organizations that operate a recurring annual event schedule.
