# Requesting More Information from an Applicant

VendorHearth Pro includes a **Request More Information** option for situations where an organizer needs additional details before making a decision on an application.

This allows you to contact the vendor without approving or declining the application.

## When to Request More Information

Use this feature when an application needs clarification before you can continue reviewing it.

For example, you might need additional information about:

- Products or services
- Vendor category
- Booth requirements
- Application responses
- Business information
- Information that was unclear or incomplete

The purpose of this feature is to keep the application in the review process while you gather the information you need.

## Sending a Request

To request additional information:

1. Go to **VendorHearth Pro → Applications**.
2. Locate the application you are reviewing.
3. Open the application's available actions.
4. Select **Request More Information**.
5. Enter the message you want sent to the vendor.
6. Send the request.

Make your message specific so the vendor understands what information you need.

## What Happens to the Application Status?

Requesting more information does **not** require VendorHearth to approve, decline, or waitlist the application.

The application's existing review status remains in place while the request is recorded.

This allows you to continue the review process after the vendor provides the requested information.

## Communication History

VendorHearth records the request as part of its communication and activity history.

This gives organizers a record showing that additional information was requested during the application review process.

Maintaining this history can be helpful when multiple staff members are involved in reviewing applications.

## Request More Information vs. Decline

Do not decline an application simply because one piece of information is missing if you still intend to consider the vendor.

Use **Request More Information** when additional information could allow the review to continue.

Use **Decline** when the application has been reviewed and you have determined that it will not be accepted.

## Request More Information vs. Waitlist

The waitlist serves a different purpose.

Use **Request More Information** when you need clarification from the vendor.

Use **Waitlist** when the vendor may be acceptable but appropriate space or category availability is not currently available.

## After the Vendor Responds

Once you receive the additional information, return to the application and continue your review.

Depending on the application, your next action may be to:

- Approve
- Decline
- Waitlist
- Request additional clarification

Choose the action that accurately reflects the application's current situation.

## Keep Requests Focused

When requesting information, clearly identify what is missing or needs clarification.

Instead of sending:

**“We need more information.”**

a more useful request would be:

**“Please provide a more detailed description of the products you plan to sell at this event.”**

Clear requests reduce unnecessary back-and-forth communication.

## Using the Activity History

If you return to an application later, review its communication and activity history when necessary.

This can help you determine what information was previously requested and what actions have already been taken.

It is particularly useful when another organizer or staff member needs to continue reviewing the application.

## Next Step

Continue to **Using the Vendor Waitlist** to learn how VendorHearth manages applications that may be accepted when additional capacity becomes available.
