# Managing Vendor Logos and Product Photos

VendorHearth Pro allows vendor profiles to include a business logo and product photos.

These images help organizers identify vendors, review their businesses, and use vendor information in other VendorHearth features such as Vendor Spotlights.

## Business Logos

A vendor can upload a logo representing their business.

VendorHearth supports the following logo formats:

- JPG
- PNG
- WebP

Logo files can be up to **5 MB**.

For best results, the uploaded image should be a clear, current version of the vendor's logo.

## Updating a Vendor Logo

If a business changes its branding, the vendor's existing profile can be updated with the new logo.

There is no need to create a new vendor profile simply because the business has changed its logo.

Keeping the same vendor profile preserves the vendor's existing history across VendorHearth.

## Product Photos

Vendor profiles can also include photos representing the vendor's products.

Product photos can give organizers additional context when reviewing the vendor and their applications.

They are particularly useful when the vendor's written description alone does not fully demonstrate what they sell.

## Use Current Images

Vendor images should accurately represent the business as it currently operates.

If a vendor significantly changes their products, organizers or vendors should update outdated images when appropriate.

Keeping current images makes future application reviews easier.

## Images and Application Review

Vendor logos and product photos can supplement the information submitted with an application.

When reviewing a vendor, organizers can use the images alongside information such as:

- Business name
- Product description
- Vendor category
- Application responses
- Social media information

Images are supporting information and do not replace the rest of the vendor's application record.

## Images and Vendor Spotlights

VendorHearth's Vendor Spotlight system can use information from confirmed vendors to create promotional WordPress posts.

When appropriate, a vendor's business logo can be used as the featured image for the Spotlight.

This makes maintaining an accurate vendor logo especially useful if your organization uses VendorHearth's promotional features.

Vendor Spotlight creation and scheduling are covered in the **Vendor Spotlights** documentation.

## Replacing an Outdated Image

When an image is no longer accurate:

1. Open the appropriate vendor profile.
2. Locate the logo or product image information.
3. Replace the outdated image.
4. Save the vendor profile.
5. Verify that the updated image appears correctly.

Updating the image on the existing vendor profile keeps the vendor's records together.

## Image Upload Problems

If an image will not upload, check:

- The file format
- The file size
- Whether WordPress uploads are functioning normally
- Whether the site's uploads directory is writable

For logos, verify that the image is a supported JPG, PNG, or WebP file and does not exceed the **5 MB** limit.

If uploads are failing throughout VendorHearth, review **VendorHearth Pro → System Readiness** for potential environment issues.

## Do Not Create Duplicate Vendors for New Images

A new logo, new product line, or updated product photos do not require a new vendor account.

Update the existing vendor whenever possible.

This keeps applications, payments, agreements, communications, and event history connected to the same business record.

## Next Step

Continue to **Understanding Vendor History Across Events** to learn how VendorHearth keeps a vendor's central profile separate from their individual event applications and participation records.
