# Managing Booth Assignments for an Event

VendorHearth Pro allows organizers to manage booth assignments so vendors know where they should set up on event day.

Booth assignments connect the vendor's approved event participation with the physical layout of your event.

## Before Assigning Booths

Before finalizing booth assignments, review:

- Confirmed vendors
- Booth types purchased
- Indoor and outdoor locations
- Food truck locations
- Vendor category placement
- Special event requirements
- Your current event map

Waiting until your vendor list is reasonably stable can reduce the number of assignments that need to be changed later.

## Vendor Booth Selection

If you have enabled VendorHearth's booth-selection tools, vendors may be able to select from available booth options themselves.

This can reduce the amount of manual booth assignment required by the organizer.

VendorHearth can display available booth choices and track selections made through the system.

## Organizer Assignments

Organizers can also manage booth information when vendors are not selecting their own spaces.

This is useful when your event requires more control over placement.

For example, you may need to consider:

- Electricity access
- Food truck placement
- Indoor versus outdoor booths
- Entrance areas
- Vendor category separation
- Accessibility needs
- Venue restrictions

## Booth Numbers

Once a physical space has been determined, assign the appropriate booth number to the vendor.

Use booth numbers that match your event map whenever possible.

For example, if the event map identifies a space as **Booth 24**, the vendor's VendorHearth record should also show **24**.

Consistent numbering makes instructions easier for vendors and event staff to understand.

## Review Booth Type and Location

Before finalizing an assignment, verify that the booth location is appropriate for the vendor's registered booth type.

For example, an outdoor vendor should not accidentally be assigned to an indoor booth simply because the booth number is available.

Also verify any relevant booth size requirements.

## Prevent Conflicting Assignments

Review your assignments before distributing them to vendors.

Two vendors should not accidentally be assigned to the same physical space unless your event intentionally uses that arrangement.

Your event map should remain the final visual reference for the physical layout.

## Updating an Assignment

Booth assignments may need to change because of:

- Vendor cancellations
- Venue changes
- Weather considerations
- Accessibility needs
- Layout adjustments
- Booth upgrades
- Operational requirements

Update the vendor's booth information whenever an assignment changes.

If vendors have already received event information, communicate significant booth changes directly.

## Coordinate Assignments With the Event Map

Your VendorHearth booth assignments and uploaded event map should agree with each other.

Before releasing final event information:

1. Review the event map.
2. Compare it with VendorHearth booth assignments.
3. Correct any mismatched booth numbers.
4. Confirm vendor names and locations.
5. Upload an updated map if necessary.

This can prevent confusion during setup.

## Final Review Before the Event

Before event day, review your confirmed vendor roster and verify that participating vendors have the booth information they need.

Pay particular attention to vendors who were:

- Added late
- Transferred from another event
- Moved from a waitlist
- Reassigned after a cancellation
- Given a different booth type

These records are more likely to require a final check.

## Event-Day Changes

Sometimes booth assignments must change after vendors begin arriving.

If that happens, update VendorHearth when practical so your records continue to reflect the actual event layout.

Accurate booth information is especially useful when multiple staff members are helping vendors find their locations.
