# Creating and Editing an Event

VendorHearth Pro allows organizers to create and manage individual events from the WordPress Dashboard.

Each event serves as the central record for its vendor applications, booth options, categories, payments, and other event-specific information.

## Create a New Event

From your WordPress Dashboard, go to:

**VendorHearth Pro → Events**

Select the option to create a new event.

Enter the basic information requested for the event.

## Event Name

Enter the name vendors and organizers should use to identify the event.

Choose a clear name that distinguishes the event from others in VendorHearth.

For recurring events, including the season or year in the event name can make historical records easier to identify.

For example:

**Spring Makers Market 2027**

## Event Date

Enter the scheduled date for the event.

VendorHearth uses this date for several automated and event-related features.

If the event date has not yet been finalized, you can mark the event as **TBA** instead.

TBA dates are covered in more detail in **Using TBA Event Dates**.

## Event Location

Enter the location information for the event.

This should identify where the event will take place and can be updated later if the location changes.

## Application Availability

VendorHearth allows you to control whether vendors can currently apply for the event.

Keeping applications closed while building or editing a new event is recommended.

This gives you time to finish configuring the event before vendors begin submitting applications.

Once everything has been reviewed, you can open applications.

## Configure the Event

After creating the basic event record, review the other features associated with the event.

Depending on your event, this may include:

- Booth types
- Booth pricing
- Booth capacity
- Vendor categories
- Category limits
- Application questions
- Agreements
- Paid Add-Ons
- Event map
- Vendor Spotlight settings

These features are documented in their appropriate VendorHearth documentation categories.

## Editing an Existing Event

To update an event, return to:

**VendorHearth Pro → Events**

Locate the event you want to change and open its editing controls.

Make the necessary changes and save the event.

Changes should appear throughout VendorHearth wherever the updated event information is used.

## Be Careful When Editing a Live Event

You can edit an event after applications have started, but changes should be made carefully.

Changing information such as pricing, booth availability, capacity, or application requirements after vendors have already applied can result in different vendors having received different information.

Before making a major change to an active event, consider whether existing applicants need to be notified.

## Changing the Event Date

If an event date changes, update the event record as soon as the new date is confirmed.

The event date can affect automated VendorHearth features, including event archiving and Vendor Spotlight scheduling.

After changing an event date, review any date-dependent features associated with the event.

## Changing the Event Location

If the venue changes, update the event's location information.

You should also review other event materials that may contain the previous location, including event packets, maps, instructions, and communications.

## Review Before Opening Applications

Before opening an event to vendors, confirm that:

- The event name is correct
- The event date or TBA status is correct
- The location is correct
- Booth options and prices are correct
- Capacity is correct
- Categories and category limits are configured
- Application questions are ready
- Agreements are available
- Paid Add-Ons are configured if used
- Payment configuration is ready

Testing the application with a test vendor account before opening applications to the public is also recommended.

## Saving Event Changes

Always save your changes before leaving the event editing screen.

After making significant changes to a live event, review the event from the vendor side as well. This helps confirm that vendors are seeing the information and options you intended.

## Next Step

Continue to **Using TBA Event Dates** to learn how VendorHearth handles events whose dates have not yet been finalized.
